How to export your business records
Where the export tools are in common business software, and what to check first.
Do not export anything yet
You do not need to export anything to start. Describe your records first. Exports happen only after the scope and terms are agreed in writing.
This guide shows where the tools are, so you know what is possible. Export options change with your plan, so check each vendor’s current guide.
Team chat: Slack
Workspace owners and admins can export workspace data. What an export includes depends on your Slack plan and settings.
Google Workspace: Gmail, Drive, and Chat
Super administrators can export the organisation’s data with Google’s data export tool.
Microsoft 365: Outlook, Teams, and OneDrive
Administrators can search and export mailbox, Teams, and file content with Microsoft Purview eDiscovery.
Sales, support, and documents
Sales and support tools export records, notes, and tickets. Document tools export pages and files.
When the time comes to export
Export only the agreed scope. Leave out excluded channels, mailboxes, and fields.
Keep exports encrypted and in your control until the transfer is agreed. Never send passwords or account access.
